Secretary required for a very prestigious organisation. You will be providing Secretarial and Administrative support to the Head Of Personnel and Administration, and help to ensure the smooth running of the Personnel Department.

EMPLOYEE SPECIFICATION

Essential

· Excellent IT skills, including Word, Excel and Powerpoint, and 55 wpm typing;

· Pro-active approach, self-motivated and plenty of initiative;

· Confidence when dealing with a broad spectrum of people (including some very senior and some difficult/persistent);

· Proven ability to work calmly and effectively when under pressure;

· Good organisational skills with the proven ability to prioritise work;

· Flexible, diplomatic approach and enjoy working as part of a team

· Ability to maintain confidentiality at all times and exercise discretion;

· Interest in personnel activities;

· Sense of humour;

· Ability to work additional hours when required.


Desirable

· Experience of using a Personnel database, although this is not essential

Main Areas of Responsibility:

· Provide full secretarial support to the Head of Personnel and Administration, including running a bring forward system, drafting, processing, and logging all correspondence, and filing;

· Control and manage the Head of Personnel and Administration?s diary, including the organisation of regular and ad hoc meetings;

· Arrange regular team meetings;

· Complete all personal and departmental filing;

· Undertake research projects for the Head of Personnel and Administration when necessary;

· Organise ergonomic assessments for current staff and new starters, and arrange assessments following all office moves;

· Organise the team Meeting every four months;

· Produce and maintain the Office Telephone Directory;

· Review and maintain the departmental contact list;

· Monitor staff uniform expenditure and budget ;

· Organise the Office Christmas Drinks party;

· Organise the ordering and distribution of the Office Christmas cards;

· Liaise with catering supplier regarding the Christmas Pudding order from the department, and Presents and Christmas Lunch invitations;

· Record and monitor sickness absence (via Compel) and annual leave, when the Personnel Assistant is not available;

· Provide cover when other members of the Department are absent;

· Assist with internal communications, and provide an approachable point of contact for staff;

· Provide refreshments for meetings when required;

· Comply with all health and safety rules and regulations ensuring own and others? health and safety at all times;

· Any other duties commensurate with the post, as requested by the Head of Personnel and Administration.
